WORKSHOP REGULATIONS
“INPROCAP”
§ 1
Date and Duration
- The “INPROCAP” Workshop is organized by the National Centre for Nuclear Research (NCBJ) and will take place on 28 May 2025 , from 10:00 to 12:300 (hereinafter referred to as the “Workshop”).
- By registering for the Workshop (as per Section 4 below), the Participant acknowledges and accepts the provisions of these Regulations.

§ 2
Workshop Registration
- A Participant is any individual who takes part in the Workshop.
- Participation in the Workshop requires prior registration.
- Participation in activities requiring prior registration is not permitted without such registration, except in cases where a registered Participant withdraws.
- Registration is completed by providing the first name, last name, email address, and affiliation through a registration form available on the Platform at indico.ncbj.gov.pl.
- Registration will begin upon the launch of the Workshop website.
§ 3
Participation Rules1. Participants accept the established structure and programme of the Workshop and agree not to alter or disrupt its course.
2. NCBJ intends to document the Workshop through photographs for documentation (e.g., reports), information (published on the Workshop website and other NCBJ websites that describe the Workshop and its proceedings), promotion (e.g., NCBJ websites and NCBJ social media profiles), and archiving (photos and recordings).
3. By participating in the Workshop, the Participant consents to the recording and use of their image for the purposes indicated in point 2 above, without entitlement to any remuneration. This consent includes the dissemination of the recorded image in connection with participation in the Workshop by NCBJ through recording, reproduction by any means, distribution, usage, making available, lending, public performance, broadcasting, displaying, replaying, transmission, public sharing, and archiving, especially via NCBJ websites, social media profiles, and promotional events.
§ 4
Amendment of the Regulations
- The Regulations are made available to Participants on the NCBJ website and the Platform at:
https://events.ncbj.gov.pl/event/418/ in a downloadable format. - NCBJ reserves the right to amend the Regulations, particularly due to changes in applicable legal provisions, the need to adapt the Regulations to such changes, changes in the Workshop programme, or the need to enhance safety measures.
- Any amendments to the Regulations shall take effect upon publication on the Workshop website.
§ 5
Safety Rules
- It is prohibited to express ideological views, including political views, during the Workshop. Commercial, promotional, or advertising activities are also prohibited unless the organizer has granted prior consent.
- The Workshop Organizer is entitled to exclude a Participant from the Workshop (e.g., by blocking access to sessions) in the event of public disorder or disruption. For safety purposes, the Workshop may be recorded.
§ 6
Personal Data Processing
According to Article 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons concerning the processing of personal data and on the free movement of such data (General Data Protection Regulation- “GDPR”), NCBJ hereby informs that:
- The controller of your data is the National Centre for Nuclear Research, ul. Andrzeja Sołtana 7, 05-400 Otwock, Poland.
- NCBJ has appointed a Data Protection Officer, who can be contacted at iod@ncbj.gov.pl or by phone at +48-22-273-22-31.
- Your personal data will be processed for the purposes of organizing and conducting the Workshop and post-event administrative handling, including financial and substantive reporting. The legal basis for processing is Article 6/1/a), b), c), and f) GDPR.
- Providing your personal data is voluntary; however, the following data is necessary for participation: first names, last name, email address, affiliation, and IP address.
- The data provided in the registration form may be shared with entities providing technical and IT support for the Workshop, as well as with entities co-financing the Workshop, for cost reporting purposes. Your image, if captured in photos or recordings from the Workshop, may be processed and published on NCBJ websites and social media profiles, accessible to third parties, for promotional purposes in line with § 3/3 of these Regulations.
- Lectures and practical demonstrations will be conducted via the GoToMeeting platform. For information on personal data processing by GoToMeeting, please visit: https://www.goto.com/company/trust.
- Your personal data provided in the registration form will be processed until the conclusion of the Workshop and subsequently for the period of limitation of claims that may arise from your participation in the Workshops. Your image data will be processed as part of the coverage of the Workshops on NCBJ websites and NCBJ profiles on social networking sites until consent for processing is withdrawn.
- You have the right to: access your personal data, rectify it, delete it (unless further processing is necessary for legal compliance or for establishing, pursuing, or defending claims), restrict its processing, and object to its processing, under the terms and conditions defined in the GDPR. Where processing is based on consent, you also have the right to withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal. Consent withdrawal can be submitted via email to: pnt@ncbj.gov.pl or iod@ncbj.gov.pl, or by post to NCBJ, ul. Andrzeja Sołtana 7, 05-400 Otwock.
- Your personal data will not be subject to automated decision-making, including profiling.
- You have the right to complain to the competent supervisory authority if you believe that the processing of your personal data violates the GDPR.
§ 7
Final Provisions
- The Organizer reserves the right to cancel the Workshop or modify its programme and format. Cancellation will be announced on the Workshop website referred to in § 1/3. The Organizer shall not be liable to Participants for any compensation or reimbursement of costs incurred for participation.
- Matters not regulated by these Regulations shall be governed by generally applicable legal provisions.
